Who we are
Stuart Heeney Fitness is a sole trader providing personal training and strength & conditioning coaching services, based at PureGym Edinburgh Craigleith. Contact: stuartheeney4@gmail.com / 07427 509391.

What information we collect
We may collect and hold the following information about clients:

  • Contact details (name, email, phone number, address)

  • Health and medical information, including PAR-Q (Physical Activity Readiness Questionnaire) responses and any injuries, conditions, or medications you disclose

  • Training records, including programmes, progress, and session attendance

  • Payment details necessary to process membership fees (we do not store full card or bank account numbers ourselves; these are processed a recurring standing order or direct debit bank transfer set up by the client through their bank).

  • Photos or videos, only where you have separately given consent for marketing or social media use

Why we collect it
We collect this information to:

  • Assess your suitability for exercise and plan training safely and effectively

  • Deliver, track, and adjust your coaching programme

  • Communicate with you about appointments, membership, and payments

  • Meet our legal, insurance, and accounting obligations

Legal basis for processing
We process your information under the following bases:

  • Contract — processing necessary to provide the coaching services you've signed up for

  • Consent — for health information (special category data) and for any marketing use of photos or testimonials

  • Legal obligation — where required for tax, accounting, or insurance purposes

How we store and protect your information
Your information is stored securely in a password-protected coaching app and encrypted cloud storage, and access is limited to Stuart Heeney Fitness. We do not sell your information to third parties.

Who we share your information with
We will not share your personal information with third parties without your consent, except:

  • Where required by law

  • Where necessary to protect your immediate safety (for example, in a medical emergency)

  • Where necessary to seek professional advice relevant to your training (for example, from a GP or physiotherapist), and only with your agreement

How long we keep your information
We retain client information for as long as you remain a client, and for 6 years afterward to meet accounting, insurance, and legal obligations. After this period, information is securely deleted or anonymised.

Your rights
Under UK GDPR, you have the right to:

  • Request a copy of the personal information we hold about you

  • Ask us to correct inaccurate information

  • Ask us to delete your information, subject to our legal obligations to retain certain records

  • Withdraw consent at any time for anything processed on the basis of consent (e.g., marketing photos)
